Physician Assistant Program
This Administrative Assistant is an integral member of the Physician Assistant Program. This individual will contribute to the success, and ensure the efficient operation, of the program by supporting the work of the faculty and other staff as well as the educational experience of the students. The ideal candidate is a competent, resourceful, self-led, conscientious individual with superior communication, interpersonal, and organizational skills, and a willingness to accept guidance. Responsibilities are outlined below.
This Administrative Assistant will work with faculty and staff to:
generate memos, emails, reports, and accreditation documents when requested share information with the constituents of the programs collaborate with the Admissions, Marketing, and Alumni teams in recruitment efforts and communication with alumni plan, implement, and monitor departmental/program initiatives prepare all financial requests (e.g.: Purchase Orders and Reimbursements) work in collaboration with all members of the Program, especially the Program Director and Clinical Team assist with the preparation of and changes to the Master Catalog and Master Schedule assist with onboarding new and/or adjunct faculty and staff within the departments prepare faculty and independent contractor contracts plan incoming freshmen schedules and ensure timely registration for these students assist with gathering and entry of information/data into a variety of programs manage workflow ensuring work is completed accurately and all deadlines are met complete other duties as assigned This Administrative Assistant will:
be skilled, or willing to become skilled in a variety of technologies (e.g.: computers), interfaces (e.g.: social media and Brightspace), software programs (e.g.: Excel), data management systems (e.g.: Colleague and Typhon), and other programs/systems that support the departments’ work create and maintain filing systems, both electronic and physical, as well as the files themselves assume responsibility for managing maintenance of classroom and office space and equipment (e.g.: telephones, computers) function as a liaison for all programs by responding to questions and requests for information effectively and assuming other receptionist duties when needed maintain office supply inventory make copies and/or scans of documents collate and distribute mail document and maintain minutes for all department and or program-related meetings support faculty, staff, and students complete other duties as assigned
Required Qualifications:
Education:
High School Diploma with a commitment to ongoing learning. Work Experience:
Experience as an Administrative Assistant is preferred, but not required.
Preferred Qualifications:
High School Diploma with post high school secretarial experience or an Associate Degree is preferred.
Experience as an Administrative Assistant at an institution of higher education is preferred.
Special Qualification/Skills (Required Competencies):
As an integral member of the Physician Assistant Program, this Administrative Assistant should have a variety of qualifications and skills that will allow them to successfully achieve the responsibilities noted above in the summary of duties section. For example, to generate memos, emails, reports, and accreditation documents, the Administrative Assistant will be skilled in computer word processing, spreadsheets, database software, Google tools, etc. and will have outstanding writing, grammar, spelling, and punctuation skills. In order to manage workflow, the Administrative Assistant must have outstanding communication, collaboration, and decision-making skills be able to organize and prioritize tasks.
Essential Elements (Essential Functions):
In addition to the responsibilities outlined in the summary of duties section, and the special qualifications/skills (also noted above), this Administrative Assistant will demonstrate excellent communication skills, strong interpersonal skills and ability to work with frequent interruptions. Dependable, reliable, pleasant and professional when working with faculty, staff, and students. Ability to work independently and remain confidential with information.
Physical Demands:
This Administrative Assistant should be able to sit at a desk while working on a computer for prolonged periods. The Administrative Assistant must be able to reach for and restock supplies as necessary, which requires the ability to lift up to 15 pounds at times.
