Marywood University has historically participated in the life of this region and has sought ways to extend institutional resources to the community. Marywood is delighted to have the opportunity to welcome guests to campus, particularly those who have a need to meet in a collegiate atmosphere. Marywood University's Conferencing Service is multifaceted - offering facilities, dining, multimedia, and housing for the regional conferencing market. Marywood promotes conferencing and special events in accordance with the University's Mission Statement. It encourages the advancement of education through the use of these services, as well as enrichment opportunities for the community at large. Marywood strives to meet the needs of this market on a year round basis, offering support and assistance to potential and current clients through the use of various services and features. (The use of the facilities by Marywood students and personnel takes first priority and use by outside groups may be limited.)
Reservations:
A master calendar of reservations for use of all university facilities is maintained in the Office of Conference and Event Marketing (Liberal Arts Building). Inquiries concerning community use of any university space should be made through this office. Initial reservations for food service are also made through the Office of Conference and Event Marketing.
When it is possible, reservations should be made in person by an authorized member of the organization requesting the space. This will facilitate the completion of the required reservation form and contract. In the case of large meetings and/or food service reservations, the university must require that these arrangements be confirmed in writing. Reservations are to be confirmed in writing no later than five working days following a request. Failure to respond within this period, or to request a specific time extension, will constitute a cancellation of the event(s) for the day(s) requested. A Certificate of Liability must be presented to the Office of Conference and Event Marketing before utilizing any facility and in accordance with university procedures.
Cancellations:
Should the organization decide not to hold a scheduled event, a confirmed reservation must be cancelled. The Office of Conference and Event Marketing should be notified as soon as possible, but in no case later than 72 hours prior to the scheduled event. This effort will enable the university to reduce preparation costs which may be charged to the reserving organization. Failure to notify the Office of Conference and Event Marketing in a timely manner will subject the reserving group to the costs incurred for the preparation of the event.
