Policy Format

A standard, yet flexible, policy format has been adopted for the Marywood University Policies and Procedures Manual to assure consistency from one written policy to another. Certain components, as noted below, are essential to the basic format. Others are strongly recommended if applicable to the statement.


Title Block (essential) - The first page of each standard University policy contains a four-part title block: the Marywood University wordmark, the title of the manual, a unique policy code, and the title of the policy.


Policy Statement (essential) - The statement is a well-articulated, authoritative expression of administrative philosophy and direction. It is the current, approved policy.




Definitions (recommended) - Unique terms, by being defined, add to the reader's understanding of the policy.

 

Procedures (recommended) - Statements of specific actions to be taken provide for orderly implementation of the established policy.

 

Related Policies (recommended) - Links to some other statements in the Marywood University Policies and Procedures Manual provide a clearer understanding of the policy. An attempt is made to list other policies that are most closely related, not to capture the most complete listing of all references in the manual to a given subject.

  

History of the Policy (recommended) - An audit trail provides for efficient research. While one cannot hope to capture a history of all activity relating to the adoption, approval, and dissemination of a policy, a record in one place of the main events that created the current statement is a valuable tool. Specific terms are used advisedly in the descriptions of the events:

Approved establishes the first date of the policy's existence and promotes the basic principle that policy is created only by the Board of Trustees or the President.

Reaffirmed is used to document review and approval, without any change.

Revised is used to document an action resulting in an approved change.

References to other official publications, including section numbers or pages, provide easy linkage to other formal pronouncements of the policy.




Contact (essential) - The contact for the Marywood University Policies and Procedures Manual is the Secretary of the University, who is responsible for its preparation, maintenance, and dissemination.
