MICROSOFT OUTLOOK WORKSHOPS

Microsoft Outlook is an information management system designed to help you communicate with others. Using Outlook, you can send electronic mail messages over an intranet or Internet. You can schedule appointments, create contacts, manage tasks, and create notes. Outlook also enables you to share data with your co-workers.

Advanced Outlook
This session covers a variety of topics, based on learner interest and need. Topics may include: creating and using new folders, designing a signature, building distribution lists, archiving email, managing junk mail, using the Out of Office Assistant, and using Tasks and Notes.

Archiving Email
Each of us is given limited space on the Marywood email server. It is therefore our responsibility to weed through and delete emails on a regular basis and archive the rest (those you need to save and access at a later date). This session will help you decide if you need to archive, and if so, what folders you should be archiving. We will walk you through the steps you need to take to make this process run as smoothly as possible.

Creating Distribution Lists
If you routinely send email to the same group of people, save time by adding them to a distribution list that you can easily create. This workshop walks you through the steps of creating a distribution list and also talks about saving, sending, and editing the list.

Creating Signatures
A signature is personalized contact information (or even a witty quote) that appears in the body of an email message, usually at the end. You can create a personal or professional signature (or both) in Outlook and have it automatically appear in the body of your message each time you send an email. This session will help you create your very own signature, in just a few steps.

Email Merges
Have you always wanted to send out those merge letters via email? With Office 2003, the process is quite easy. Using Word's mail merge feature, you simply type the body of the email in Word, display your data (in Excel, Access, a Word table, or even a Contacts List), and see how easy it is to merge the two and send with Outlook. Save paper, money, and time with this method!

Responsible Email Use
Are you a responsible e-mail user? Do you perform the following on a regular basis: (1) Delete unneeded e-mails in your Inbox; (2) Delete unneeded e-mails in your Sent Items; (3) Empty the Deleted Items; (4) Delete all e-mails containing attachments; (5) Save all attachments to your PC's hard drive; (6) Limit the sending of attachments ESPECIALLY when sending to a listserv (such as MWADMIN); (7) Archive your folders, particularly Sent Items and any new folders created; (8) Say no to stationary, colored backgrounds, and graphics (particularly animated ones) in e-mails. If you answered "no" to any of those, then you may not be a responsible e-mail user. Each person with a Marywood e-mail address has a limited amount of space on the server. It is our responsibility to weed through unneeded e-mails and archive the rest on a regular basis in order to free up that valuable space for all current users and future users. This session will show you how to perform all of those tasks in order to become a responsible email user.

Using the Calendar
Learn how to make, edit and delete appointments (single, recurring and all-day events) on your Outlook calendar with ease. Examine and print the different screen views of your calendar (daily, weekly, monthly). Share your calendar with a co-worker or open an already shared calendar. Lastly, schedule meetings, invite others, and keep track of the responses, all using Outlook's built-in, networked calendar.
