Administrative Computing

I just changed my password on Administrative Computing and it said I was successful.  I am, however, still having problems accessing a network folder.

How can I check to see if a class is closed?

How can I view a current copy of my class list?

How can I change the semester without signing off and then back on again?

How do I know what the semester number is (rather than the name)?

How do I print a report I submitted?

I cannot sign on to administrative computing. I am getting a black screen only.

I only have twelve (12) functions keys. So how do I choose F13?

How can I check how many vacation and sick days my staff has yet to use?

I just changed my password on Administrative Computing and it said I was successful.  I am, however, still having problems accessing a network folder.

Did you reboot (or log off) and sign on with the NEW password?  This step must be done immediately after changing your password.


How can I check to see if a class is closed?

  1. Sign on to the Administrative Computing system.
  2. Type GO ASSDD and tap the ENTER key.
  3. Type an X in front of the semester and tap the ENTER key.
  4. Type the number 9 for the option "Inquiry - Master Schedule" and tap ENTER.
  5. On the Master Schedule screen, type the Dept, Cata, and Sec and tap the ENTER key.
  6. The class you are looking for should appear at the top of the screen.  The last column, Tal (Talley), represents how many people are currently registered in that class.



How can I view a current copy of my class list?

  1. Sign on to the Administrative Computing system.
  2. From the main menu, type GO ASSDD and tap ENTER.
  3. Type an X in front of the current semester and tap ENTER.
  4. Type a number 4 for the option "Inquiry - Class Lists Without Grades."  Tap ENTER.
  5. On the Master Schedule screen, type the Dept, Cata and Sec and tap the ENTER key.
  6. Your class will now be at the top of the screen.  Type an X in front of it and tap ENTER.
  7. Your class list will now be displayed


How can I change the semester without signing off and then back on again?

If you have already chosen a semester but want to change it, go back to any menu page (they will have the word "Menu" in the top right corner of the screen) and do an F23 (which means 'reset' the semester).  Most of us only have 12 F-keys (function keys) so you will have to hold down your SHIFT key and then tap F11 (Shift adds 12 to all of the function keys so you'll need to do some math).


How do I know what the semester number is (rather than the name)?

Sign on to Administrative Computing.  If you attempt to access a menu which requires a semester to be selected (such as Menu ASSDD), you will be taken to the Registration Selection screen.  To the right of the semester name you will see a number (Reg #).  That is also known as the semester number.  Queries require semester numbers not names.

If you are already signed into Administrative Computing, Tapping F23 (Shift + F11) will take you to the Registration Selection screen as well.


How do I print a report I submitted?

When you submit a report or job in Administrative Computing, it goes to an area of the system known as "Spooled Files."  It stays there until you are ready to print it.  Sometimes, however, it is placed on hold first and you need to release it (check the status of submitted jobs by clicking the F7 key). 

From any menu page, go to your Spooled Files by pressing F18 (that is Shift + F6).  If you are unsure which file (or files) are the ones you need to print, typing a "5" on the line in front of it will allow you to view it first.

Before you print, make sure you have a macro button set up to send reports and jobs to your printer.  It should appear after the Copy and Paste buttons and have a label similar to mine:  aaps25outq

If you do NOT have this macro button, call the Help Desk to have a tech person come over and set one up to the printer of your choice.

When you are ready to print, type a "2" in front of the file (or files).  This means change from my Spooled Files to the Printer.  After typing the "2", immediately click on the macro button.  A command will print across the bottom of the screen, telling it WHERE to print (what printer).  Tap your Enter key and your report should come out of the printer.


I cannot sign on to administrative computing.  I am getting a black screen only.

Click on the COMMUNICATION menu and make sure AUTOCONNECT is checked.  If it isn't, click on it.  You should then be able to connect to administrative computing.


I only have twelve (12) functions keys.  So how do I choose F13?

Holding down the SHIFT key adds twelve to each function key.  F13, as in your example, would be SHIFT + F1 because 12+1=12.


How can I check how many vacation and sick days my staff has yet to use?

  1. From the main menu in Administrative Computing type the command GO BQQDD.
  2. Choose Option #1, Inquiry - Employee Information. Tap ENTER.
  3. Tap the ENTER key twice when prompted for the fiscal years (there will be two screens).
  4. On the Employee Driver, type the last name, capitalizing the first letter.  Tap ENTER. Tab down to the line before your name and type an X.  Tap ENTER.
  5. Choose Option # 3, Inquiry - Benefit Information.  Tap ENTER.


You will now see the number of vacation and sick days used and left.


I changed a contract but now I can't print it.

Once you print a contract, the system changes its status to SAVED.  Before you can print it again you must RELEASE it from that status ("6" in front of the job).

You can then refresh the screen (F5) or back out and come back in to print it as you usually would ("2" in front of the job).
