8:30 AM to 4:30 PM
Summary of Duties
Answering and managing a high volume of telephone requests. Maintaining an administrative filing system. Making and managing appointments for Dean. Strong communication skills in working with faculty, staff, and the public. Proficiency with MS Word, experience at taking minutes of meetings, and processing written communications with faculty. Manage office equipment, correspondence, mail, supplies, copying, etc. Requisitions for supplies and printing. Greet and refer visitors and calls to appropriate staff. Arrange for meeting rooms and anticipate materials needed for appointments and meetings. Perform tasks requiring knowledge of computers, Check/print overload and part-time contracts, summer contracts and track faculty. Prepare graduation lists, undergraduate, graduate, and doctoral student entry in the commencement booklet, manage the commencement process as well as the hooding and honors ceremony, and assist with commencement lineup. Verify student records; send letters and other student-related activities. Use Colleague to track faculty and students as necessary. Prepare and distribute course evaluations. Working knowledge of MS Access, MS Excel, Adobe, Photoshop and MS PowerPoint programs. Additional responsibilities as needed.
High School Diploma and significant clerical training.
Commitment to confidentiality and administrative support to Dean. Self-motivated and problem-solver. Able to work independently and provide oversight to Dean’s office operations.
